Hot Desking is a new model of office space organization where desks are shared. This means that employees do not have their own permanent workplace, but choose an available one after a previous agreement.

This approach contributes to increasing the mobility of employees and optimizing the use of office space. In the USA, this model was used for the first time in the 90s, the main goal is to save the company's money.

Experience shows that the system of unsecured workplaces is ideal for companies where employees are traveling or are present only partially. Thus, their permanent workplace remains empty. Tenants of office space pay for each such space, so many American and European companies have switched to the Hot Desking system to avoid these costs. In Ukraine, this concept is just beginning to gain popularity.

The modern model assumes that an employee can choose any free seat if he arrives at the office before others. Otherwise, the choice will be limited. The possibility of a flexible schedule allows you to replace employees with each other during shifts. This allows you to save on renting office space for a large number of staff. It is also possible to reserve workplaces through the reception or corporate system.

Rules for using shared workspaces include keeping things clean, leaving no personal belongings after work, and working with colleagues to reserve seats. Availability of comfortable furniture is also important.

The Hot Desking system allows efficient use of office space while saving money. It also increases the productivity of employees thanks to the general atmosphere of work. Departments cooperate effectively with each other (no need to wander around offices and look for responsible persons); creative approach is stimulated; current problems are promptly resolved; employees are deeply immersed in work processes; friendly and professional relations among colleagues are strengthened.

This model will be useful for small startups and companies that rent office space in elite areas of the city, where prices per square meter are several times higher than market prices.

Other options for organizing the workspace

Taking into account the fact that office planning is losing its popularity, the following formats of workspace organization can be distinguished:

  • co-working space, renting a workplace for a certain period of time
  • open space. Division of the office into small offices by erecting capital partitions with fixing the workplace for the employee
  • the 5S system. The principle of order and cleanliness at the workplace

The Hot Desking system looks the most profitable. It is already successfully used abroad and is gradually being introduced into Ukrainian business. Our consulting agency will help you choose the optimal offices, arranged according to the concept of Hot Desking in the center of Kyiv.
